An exciting opportunity for a full time Accounts and Administration Assistant to join a national Building Surveying company located in South Melbourne. This is a full-time position where you can be trusted to work from home 2 days per week if you wish. 

Seeking the experience of someone who is motivated, reliable, has the ability to undertake a variety of tasks, and can provide direct accounts and administrative support to the Finance Manager and Director.  Ideally, we are looking for someone who is willing to stay long term and can work independently with minimal supervision.

Duties and Responsibilities:

Carry out a variety of accounting, bookkeeping and general administrative duties that will include but are not limited to:

  • Processing accounts receivable invoices in an accurate and timely manner
  • Processing accounts payable, in accordance to approved and payment terms
  • Maintaining and managing petty cash
  • Support the team of accounting personnel
  • Input cheque book expenditure in and an accurate and timely manner
  • Assist with incoming and outgoing mail
  • Assist with the preparation of policies, procedures, manuals, financial reports
  • Responsible for the implementation of standardised accounts and office administration systems including filing, archiving and information storage
  • Undertaking reception duties including answering and directing phone enquiries, when required
  • Proactively managing the ordering, purchasing and distribution of stationery
  • Office and kitchen supplies
  • Various administration tasks, including sorting and filing emails, data management, and other ad hoc duties as required 

Qualifications and Experience:

  • Experience in an account or bookkeeping role, must be competent in managing a set of company accounts
  • Bookkeeping or Accounting qualifications (Cert IV, Diploma or Degree) an advantage
  • Experience with MYOB preferred, however in house training will be provided
  • Excellent knowledge of Office - Excel, Word & Outlook
  • Strong attention to detail, must be meticulous and accurate with all tasks
  • An ability to think strategically and understand the 'big picture'
  • Ability to work under pressure and multi-task
  • Excellent written and oral communication skills
  • Ability to treat sensitive/ confidential information with appropriate discretion
  • Ability to work with limited supervision
  • Good sense of initiative and willingness to help out wherever possible
