The primary responsibilities of the Diocese’s Property Services Team are property development, site specific master planning, project planning and management, commercial development, facilities management and maintenance.

The Opportunity

The Catholic Diocese of Maitland-Newcastle is seeking a versatile, highly organised and super efficient Accounts / Administration Officer to join its Property Services Team. This is a support role with a particular focus on both financial administrative support and general administration activities that provides support to the Construction team, which includes the Construction Manager and 4 Senior Project Managers. The team is working on a large number (currently approximately 150 projects) of projects on varying scales across all areas and agencies of the Diocese, in particular, Schools and Child Care Centres.

In this position you will be responsible for:

  • preparing purchase and work orders;
  • administering progress payments on a monthly basis;
  • reviewing progress claims for invoicing purposes;
  • reporting on committed costs and cost spent to date;
  • data entry into the finance systems and spreadsheets – systems used are Technology One, Light Year and Excel;
  • reconciliation of purchase orders and invoices back to spreadsheets;
  • weekly invoice processing together with preparation of weekly payment runs;
  • collation and preparation of information for monthly management reports, including graph creation;
  • reconciliation and document preparation and submission of returns for grant applications;
  • administrative support to the team including formatting of various documents such as contracts and other documents as well as general and project administrative tasks and more.

As part of this role you will also learn the duties of the other support members of the team to be able to cover periods of leave and assisting in down times in own area.

To be successful in the position you will have strength and experience in both finance administration, reconciliations and general administrative duties. You will need to be versatile, well organised, efficient and a self-confident professional.

This is a maximum term full-time position for 2 years with a possibility of this being extended, subject to the volume of projects continuing into the future.

Selection Criteria

To be considered for the position you must individually address each of the below selection criteria below, both Essential and Desirable.

Essential:

  • Tertiary qualifications in Business Administration and/or Accounting or equivalent relevant experience.
  • Experience in a similar role within a corporate office environment, providing both finance administrative and general administrative support to a team.
  • Demonstrated practical accounts and administrative skills, including invoice processing and matching, reconciliations and general administrative skills.
  • Advanced skills in Microsoft Office applications and Accounting Systems (MS Excel, MS Access, MS Word and Accounting systems).
  • Experience in database creation and maintenance.
  • Demonstrated experience in report preparation.

Desirable: 

  • Tertiary qualifications in Property Management, Project Administration and/or Asset Management.
  • Experience in Facilities, Construction, Commercial Property and/or Project Management.
  • Experience reconciling and processing progress payments.
  • Experience in using electronic records management systems.
  • Experience in coordination of meetings, preparation of agendas and recording of minutes.
