We are seeking an experienced Finance Admin Assistant to become part of our Finance team in our fast paced client-facing office based in Springvale.

We are a well-established business with over 30 years’ experience serving a diverse range of clientele in the wider Melbourne community.

The role will require you to manage the day to day transactions of the business including AR, AP, banking, general client account enquiries and client collections while maintaining professional and responsive support to our clients. Your proactive, confident and friendly manner is essential to support the needs of our team and our clients. 

The role will require you to be supremely organized in order to successfully manage the transactional tasks of the accounts department. 

This role is suitable for those who may have worked administratively in a small finance team and may appeal to someone re-entering the workforce with young family who is interested in a professional part-time role, yet are happy to roll up their sleeves. 

Products training and support provided in our friendly team. Our hours can be tailored for school commitments. 

 

The Role:

The candidate will be mainly managing AR, AP and Banking to the business. 

With a Client-First approach, the main focus of this role is supporting the Financial Controller to manage all of the daily transactions of the business. 

This role reports directly to the Financial Controller and will be required to work closely with the Business Manager as well.

Responsibilities of the job include:

  • Accounts Payable
    • Preparing regular AP payment runs
    • Data entry of all invoices
    • Co-ordinating the approval of invoices with other departments
    • Liaising with suppliers, ensuring our records are accurate and up-to-date
    • Maintaining supplier records
  • Accounts Receivable
    • Invoicing of jobs, co-ordinating instalment payments 
    • Managing receivables
    • Communicating with clients
    • Managing job/client records
  •  Banking
    • Preparing twice weekly cash deposits
    • Managing and preparing merchant deposits
    • Bank reconciliations/bank feeds up to date
    • Accounts Filing
    • Assisting the Financial Controller with month-end and ATO requirements
    • Client Account Enquiries

 

The successful applicant will:

    • Have great communication skills, both verbal and written
  • Possess the ability to work under pressure and have a client care focus
  • Have excellent computer skills (word, outlook, excel) including experience with database software (Filemaker would be an advantage)
  • Experience with MYOB highly regarded 
  • Have a positive, pleasant and friendly temperament with a high level of optimism to solve problems
  • Second (European) language highly advantageous
  • Excellent customer service, interpersonal and listening skills with the ability to effectively interact with staff at all levels
  • Previous experience with multiple entity accounting would be an advantage
