Finance & Administration Officer (part-time – fixed term)

With the new, purpose-built art museum almost finished, SAM has an exciting opportunity for a part-time (0.6), fixed term (13 months) Finance & Admin Officer. 

The Shepparton Art Museum (SAM) is located in North Central Victoria. Established in 1936, the SAM Collection is recognised and celebrated as one of regional Australia’s most significant collections of Australian ceramics, alongside a growing collection of historic and contemporary paintings, prints and works on paper. The Museum is also highly regarded for its collection of Aboriginal art. SAM is known for a dynamic program of exhibitions that are designed to be locally relevant and engage with global contemporary ideas. 

This role reports directly to the Business Manager and assists in the timely and accurate completion of administrative, financial and general accounting duties, including: 

  • Enter new supplier, purchase order, bills and invoices 
  • Complete the timely processing of debtor transactions including invoices, credit notes and receipts
  • Monitor direct debits
  • Prepare the monthly corporate credit and purchase card report.
  • Enter assets into the asset register
  • Create and enter batch payments
  • Assist in general financial management and analysis as required.
  • Prepare payroll and human resources information for data input and assist with checking, quality control and maintenance of records to ensure accuracy, service quality and data integrity
  • Provide a responsive, accurate staff service on payroll matters, resolve enquiries and assist in identifying payroll errors and implementing corrective action where required to ensure employee payments are processed accurately and database integrity is maintained
  • Monthly reporting 
  • Support the business manager, the team and the Friends of SAM in various admin tasks 

To be successful in this role, you will have: 

  •  Relevant accounting/business certificate/diploma/degree or experience (minimum 3 years) as a Finance Officer (or similar) demonstrating financial, analytical and problem-solving skills. 
  • Demonstrated experience in undertaking the payroll for a small business
  • Demonstrated experience in undertaking finance tasks such as entering suppliers, raising purchase orders/bills/invoices, etc. 
  • Demonstrated high level of competence in the operation of MS Suite of applications including Word, Excel, Power Point and Outlook with a high standard of presentation and accuracy.
  • Excellent time management skills to complete administrative tasks in a busy environment.
  • Excellent interpersonal, communication and customer service skills to liaise with internal and external stakeholders.
