Your main tasks will be:

  • Prepare finance documents and reconciliations as directed by Company accountant.
  • Maintain a range of basic databases and record systems including Deputy, and ESS 
  • Implement financial policies and procedures.
  • Manage accounts receivable and payable. 
  • Review and process reimbursements 
  • Review and update existing documents and spreadsheets.
  • Identify and address account discrepancies. 
  • Timesheets auditing and approval 
  • Fortnightly payroll processes 
  • Maintain organised system of hard copy and digital financial records.
  • Point of contact for Company accountant, corporate payroll and superannuation enquires
  • Maintain all Company Insurance policies and liaise with insurance broker regarding new policies 
  • Develop, implement and improve current financial procedures as directed by Accountant and management
  • Support all management and administration staff with additional office duties as directed 
  • Support the coordination of company procedures such as Recruitment, onboarding activities, probation, off-boarding etc. Ensuring all tasks are completed within strict deadlines
  • Review and assist with HR and Employee inquires by either resolving them or referring them on to the appropriate Manager
  • Providing Administrative support across several departments within the Company as required
  • Develop, assist, and lead specific projects within the HR scope as required
  • Liaise with our external HR/IR consultancy firm to determine appropriate advice given to company employees. 
  • Loading and updating employee data into relevant systems
  • Preparation of contracts and new employee packs
  • Providing user support to company employees
  • Provide ongoing support to administrative team and reception desk as required. 
  • Review and implement changes to various forms of documentation. 
  • Coordinate office personnel work activities in line with strategic business goals.
  • Assisting the Management team with basic Company HR and financial administrative functions as directed

The successful applicant will:

  • Have the ability to prioritise competing demands and manage your time effectively
  • Have a minimum 2 years demonstrated experience using MYOB Essentials
  • Ability to work autonomously and use initiative
  • Able to cope within a fast-paced growing company
  • Available to start ASAP! 
  • Current Driver’s License
  • Current OCHRE Card
  • Current First Aid Certificate
  • Current Police Clearance check
  • Have unrestricted working rights in Australia

 

Skills and Experience:

  • A minimum of 2 years HR  and Finance Administrative experience working in a similar role within human resources, preferably in the healthcare industry.
  • Certificate 3 in Business Administration desirable
  • Qualifications in Human Resources desired but not essential. 
  • Experience working with the following systems: Deputy, Employment Hero- desired but not essential
  • Exceptional communication skills and the ability to develop effective working relationships with key stakeholders, managers, employees and contractors
  • Ability to multi-task, improvise and adapt quickly by thinking on your feet and adhere to deadlines satisfactorily
  • Understanding of employee rights and industrial relations
  • Understanding of, or exposure to, different HRIS and related tools.
  •  Strong communication skills and attention to detail
  • Advanced knowledge in Microsoft Office Suite
  • Experience with MYOB (Qualification desirable)
