Primary Directive:
The Payroll Officer role liaises and reports directly to the Payroll Manager who ensures payroll processes are aligned to country regulatory requirements and underpinned by the business's goals & objectives.
The role is based in Australia within the Pacific Payroll function and is responsible for processing payroll for the Australian Johnson Controls Group of companies including timely administration of all facets of employee time and attendance processing, reconciliations, Single Touch Payroll submissions, ongoing reporting business requests and EFT processing as some examples. It is expected that all legislative and compliance deadlines in addition to company policies be adhered to and applied.
Supporting members of the team and providing customer service is integral to this role thus providing opportunities for growth and self-development. Ideas for improving inefficiencies and teamwork are encouraged ensuring the continued success of the entire Pacific HR/Payroll departments.
The roles responsibilities will grow into managing payroll vendor performance that includes all validation of payroll processes and results provided, guiding the outsourced vendor to ensure Australian State and Federal regulatory requirements are adhered to.

The Payroll Officer role main tasks/responsibilities include (but not limited to):

  •  Work closely on day-to-day payroll operations as directed by Payroll Manager in AU;
  •  Ensuring all payroll transactions are processed efficiently;
  • Collecting, calculating, and entering data in order to maintain and update payroll information;
  • Compiling summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages and reporting outputs;
  •  Determining payroll liabilities by calculating employee federal and state income, social security taxes, employer's social security, unemployment, and workers compensation payments;
  • Resolving payroll discrepancies;
  • Maintaining payroll operations by following policies and procedures;
  • Developing ad hoc financial and operational reporting as needed;
  • Documentation of all payroll related processes & procedures, ensure they are updated periodically;
  • Responsible in administering Payroll processes and payroll posting’s to country requirements;
  • Responsible to update and align standard operating models including payroll report formats, tasked checklists, payroll calendars etc.
  • Responsible and actively participate to all month end and year end processes;
  •  Responsible for accurate and timely submission of Single Touch Payroll for all employees;
  • Liaises directly with third party vendor/s in managing of business relationship role that ensures smooth & timely delivery of all operating payroll’s;
  • Acts responsibly in a timely manner with all employee queries regarding all facets of payroll, accounting and business reporting, problem solve leave payment calculated matters with processing to any applicable back pay requirements.
  • System enhancements are managed and ad hoc initiatives related to process improvements as directed by the Payroll Manager from time to time;
  •  Keeps updated on “best practices” of changing regulatory requirements at national & local level, as appropriate, and communicates to Payroll Manager in adhering to Company compliance.
  •  Attention to detail, solid grasp of mathematics, excellent organisational and communication skills.
  •  High degree of professionalism and discretion given the confidential nature of the role.

Requirement Profile

Advantageous – Payroll Certificate, degree in finance or economics beneficial.

  • 2-3 years experience in a Payroll function role ideally;
  •  Understanding of simple business accounting principles.
  • Experience working within a Union Collective environment.
  •  Multi-Company + Multi-State operation would be very highly regarded.
  • Strong attention to detail;
  •  Vibrant personality with a proactive approach ethic;
  • Well presented;
  •  Analytical skills;
  • Time management / flexibility approach in set tasks;
  •  Team player;
  •  Ability to work autonomously / take ownership of designated tasks;
  •  Excellent interpersonal & communication skills

Experience in the handling of an Outsourced Operation will be highly regarded;

  •  Reconciliations
  •  Compliance with OHS practices;
  •  Payroll procedural obligations in a Sarbanes Oxley setup requirement.
